This Privacy Policy describes how the West End Slo-Pitch Association ("WESA," "we," "us," or "our") collects, uses, and protects personal information through the WESA Scorekeepers Portal (scorekeepers.wesa.net), including how we handle information related to SMS and RCS message delivery.

1 Information We Collect

When you register or use the Scorekeepers Portal, we may collect the following categories of personal information:

Identity information: Full name, WESA member number
Contact information: Canadian mobile phone number used for authentication and notifications
Assignment data: Game schedule assignments, tier/division information, game results you submit
Session data: Login timestamps, device type, session duration
Communication records: History of SMS/RCS messages sent to your number

2 SMS & RCS Messaging

WESA uses Twilio to send SMS and RCS (Rich Communication Services) messages to scorekeepers. Messages are sent only to Canadian mobile numbers.

Types of messages you may receive

Messages are sent only to scorekeepers who have registered with an active account. Message types include:

Game assignment notifications (new, updated, or cancelled assignments)
Game-day reminders (sent the morning of your assigned game)
Schedule conflict alerts
Important association-wide announcements from the Commissioner

Opt-Out & Help

Reply STOP to any message to unsubscribe from all WESA Scorekeepers SMS/RCS notifications. Reply HELP for assistance. Message frequency varies based on your game assignment schedule. Standard message and data rates may apply.

Your phone number is used solely for delivering the messages described above and is not used for marketing purposes.

3 How We Use Your Information

We use the information we collect to:

Authenticate your identity and manage your scorekeeper account
Deliver game assignments, reminders, and operational notices via SMS/RCS
Maintain accurate game records and scorekeeper availability
Detect and prevent unauthorized access or fraudulent activity
Comply with WESA's operational requirements and applicable Canadian law

We do not use your information for advertising, profiling, or sale to third parties.

5 Data Retention

We retain personal information for as long as your scorekeeper account remains active, plus a reasonable period afterward for record-keeping purposes. Game records are retained for the duration of the WESA season and archived thereafter. You may request deletion of your personal data at any time (see Contact Us below).

6 Your Rights

You have the right to:

Access the personal information we hold about you
Request correction of inaccurate information
Request deletion of your personal information
Withdraw consent for SMS/RCS messaging at any time by replying STOP
Lodge a complaint with Canada's Office of the Privacy Commissioner (OPC)

7 Canadian Privacy Law (CASL & PIPEDA)

WESA operates in compliance with Canada's Anti-Spam Legislation (CASL) and the Personal Information Protection and Electronic Documents Act (PIPEDA). We send electronic messages only to individuals who have provided express or implied consent as part of their registration as an active scorekeeper with the association.

All messages include a functional opt-out mechanism. We honour all STOP requests promptly.
